Background

Ansell & Bailey is one of the UK’s longest-running architecture practices, with roots dating back to 1900. The award-winning international studio has established itself over the past ten decades with a distinctive approach to architecture through a wide range of work in many sectors, including healthcare, education, community, cultural buildings and private residences.

Problem

Marketplace for architects, engineers & contractors
Ansell & Bailey first looked into an email management solution to minimise paper filing internally. Reducing paper filing was an essential aspect of their quality assurance ISO systems and aligned with their sustainability goals by reducing paper use overall.

Results

The firm initially heard about Mail Manager 10+ years ago when the software was in its infancy at Arup. Belén Francos-Taylor, Director at Ansell & Bailey, explained, “It seemed like the perfect solution, as it lets us categorise emails and file efficiently to suit our quality assurance systems and project filing structure.”

Since implementing Mail Manager across the firm, Ansell & Bailey has experienced a number of benefits. Belén commented, “Being able to use Mail Manager’s search function has improved our filing system immensely. Even if items are accidentally misfiled through human error, they are always retrievable. It has also helped reduce our carbon footprint – all our paper filing has been eliminated – and the system meets the criteria of our environmental quality assurance ISO systems. It is a cost-effective way of organising our email filing.”

When questioned about her favourite feature of the software, Belén replied, “The search function is amazing. Even if emails are accidentally misfiled, they are always retrievable.”

Belén’s advice to others considering implementing Mail Manager is, “Definitely give it a go. It is very user-friendly, and the more you use it, the more clever functions you find, making life more efficient. Mail Manager is a great, cost-effective email management system that is user-friendly and easy to implement and integrate with all of your other office management tools.”
